Agrak harvest has two apps: (1) "Agrak harvest" and (2) "Agrak Work". "Agrakharvest" is used by the administrator user to define harvests, grant permissions for workers to use the AgrakWork app, view reports and manage users. "AgrakWork" is used by workers who perform specific tasks within a harvest: scorer, quality control and loader manager. To use "AgrakWork" the worker must receive a permission in QR format from the administrator using Agrakharvest.

Equipment required to use Agrak harvest

It is very easy to use Agrakharvest. You only need the following equipment (those marked with an asterisk are mandatory):

(1)Smartphone with Android 9.0 operating system or higher*. With this smarthpone you will download the application and you will be able to start using Agrakharvest.

(2)Credentials with QR for harvester* that you can purchase at purchase at Agrak.com or print them yourself. With these credentials you will be able to register your harvester's deliveries.

(3)Stickers with QR of bins that you will be able to buy at Agrak.com or print them yourself. You will need these stickers to keep track of your bins.

(4)Lanyards for the credentials of point (2) that you will be able to purchase from Agrak.com or purchase them on your own. These lanyards are useful for hanging the cards of the harvesters around their necks to prevent them from getting lost.

In addition and based on our experience, we recommend using the following equipment in your harvest:

(5)Bananas for convenient storage of equipment that you will be able to buy at Agrak.com or purchase them yourself.

(6) Thick black pencil to write the respective data on the stickers and credentials if desired.

The equipment mentioned in the previous point is important to take advantage of all the potential that Agrakharvest has to make your harvest successful.

To use Agrakharvest you only need a smartphone with Android 9.0 operating system or higher. We recommend Motorola and Samsung brands to purchase these devices, as many farmers have had good experiences with them. We also recommend that the devices have a RAM capacity greater than or equal to 4GB and a storage capacity of 64GB or higher.

My first harvest

Step 1: Open the Agrakharvest application and select the "Start" button.

Step 2: Enter the email address and password you used to create an Agrak.com account. (Don't have an account? create an Agrak account here). Then click "Next".

Step 3: Now you are ready to create your crop! In "Config" (in the navigation bar at the bottom of the screen) click on "Create new crop". Indicate the name you want to give to your crop, we recommend giving it a descriptive name (e.g.: Cherries Los Niches 2022). Indicate the species of fruit tree that you are going to harvest in your crop, you can only select one species. Indicate the type of harvest you are going to perform. When you select a harvest type, an explanation of the harvest type is displayed, read this carefully and select the alternative that reflects the harvest format you are going to use. Then press "Next".

Step 4: Now we will customize your harvest! Indicate the "Time between captures". Indicate the "Unit" in which you will harvest and its respective capacity in weight of the fruit it can contain inside (ex: Capacho and 4.5 Kilos). You can select up to two units, press "Add unit" for this. Then press "Next".

Step 5: Define the barracks to be harvested! You can create as many quarters as you want, to do so simply select "Add quarters". Indicate the name, the area and the variety. You can select more than one variety per field. Select "Add barracks" to complete the creation of the barracks.

Step 6:Indicate the "Sample size". Define the parameters of the crop you want to evaluate, for this press "Add control", define a name, a type and a description for your parameter (e.g. Rot, Numeric, Indicate the number of rotten fruit in the sample). You can define as many parameters to evaluate as you want, select "Next" to finish creating your harvest! Did you make a mistake or miss something, it doesn't matter! You can edit your harvest at any time in the settings section.

Agrakharvest is divided into four screens:

  • The "Statistics" screen, here you can:
  1. View a report summarizing the main harvest parameters.
  2. Send a harvest report in Excel format to one or more mailboxes.
  3. Button to synchronize data.
  4. Navigate between active harvests.
  • The "Status" screen, here you can:
  1. Display all users who are working on the harvest.
  2. Visualize who is practicing, what roles they play in the harvest and when the last synchronization was performed.
  • The "Profiles" screen, here you can:
  1. Grant permission for users to work on the harvest.
  • The "Config" screen, here you can:
  1. Create and edit quarters and varieties.
  2. Create and edit the quality control.
  3. Create a new crop.
  4. Finish the harvest.
  5. Manage users and revoke permissions.
  6. Edit the "Time between captures".
  7. Edit the crop name and more.

This is the minimum time a harvester must wait to make a new delivery. For example, if a harvester delivers a capacho at 10:05 hrs. and the "time between catches" is 120 seconds, then that harvester will not be able to deliver again until after 10:07 hrs. If the harvester in question tries to deliver fruit between 10:05 hrs. and 10:07 hrs. the application will not allow it. This is a security system for you.

If you are not interested in using this security system, set "Time between captures" to 0 seconds.

The harvesting unit is the container used by your harvesters to harvest individually, for example, a capacho, a box, a tray, among many others. You can choose the one you want in a very simple way.

It is important to indicate the weight of the "Unit" as this feeds the report. The weight you should define is an estimate of the weight in fruit that the "Unit" has when full of fruit (e.g. a full tote of cherries weighs approximately 9 kg).

To start registering deliveries you must:

  • In the Agrakharvest app go to the profiles screen, select Scorer and a time duration of the permission for the scorer to work on your harvest and press the create profile button, doing this will create a QR. This QR can be used to grant more than one permit.
  • A person who has previously downloaded the AgrakWork app must log into the application and scan the QR generated by the administrator.
  • Once the scorer has logged into the AgrakWork app by entering their IDs, they must press the "Scan Harvester" button and scan the harvester's card. The first time this operation is performed, the name and ID of the harvester must be entered. This is where the harvester is registered to the system and the first delivery is also accounted for, which is why the operation in question should be performed when the harvester makes the first delivery of fruit.
  • From now on every time the harvester delivers fruit the scorer simply scans the harvester's ID card.

System profiles

The administrator is the most important user of the application, who defines the harvest, gives permissions for other users to work on the harvest, view online reports and more. To become an administrator download the Agrakharvest app and subscribe at Agrak.com. To log in as an administrator use the same credentials you used to create your subscription.

The annotator plays an indispensable role in the harvest. The scorer records the harvester's deliveries in the field, indicates in which barracks and variety he/she is recording, enters the harvesters into the system and has the option to close bins. The annotator has a synchronize button at the top of the screen to upload the records to the server. It is important to remember that both to log in and to log out, the annotator must be connected to the internet, the rest of the time it can work offline.

Quality control is an optional role within the harvest. The quality control performs quality controls on the harvesters; for this he must select the barracks and variety on which he will perform the control, scan the QR card of the harvester to be evaluated and complete the form. It is important to remember that to log in and log out, the quality control must be connected to the internet, the rest of the time he can work offline.

The loading dock attendant is an optional role within the harvest. The loading dock attendant scans the QRs of the bins arriving at the loading dock. This is used to calculate how long the bins take from the time they are harvested until they reach the loading area and to avoid bins with fruit left in the orchard. It is important to remember that the loader must be connected to the internet to log in and log out. The rest of the time he/she can work offline.

To do this you must be logged in to the Agrakharvest app, i.e. you have the role of administrator. Go to the profiles screen, select a profile type, the length of time the permission will last and press the "Create profile" button. The QR that is generated must be scanned with the AgrakWork app on your worker's device.

Quality control

Quality control is an Agrakharvest tool that allows quality control of the fruit harvested by the harvesters. This quality control is performed by the "Quality Control" profile in the field by means of a sample obtained from the fruit harvested by the harvester.

Quality control works on two levels:

[Level 1] The administrator defines which parameters he wants to appear in the quality control. A parameter is a characteristic to be evaluated (e.g. "number of rotten fruits"). There are two types of parameters: numerical and yes/no parameters. A numerical parameter is one where the person performing the quality control indicates a number to evaluate (e.g. "number of rotten fruits"). This number is in a range that the manager defines and the limit of this range is called "Sample size" (number of fruits that the QC person takes from the picker to analyze). A yes/no parameter is one where the QC person indicates yes or no (e.g. "the picker has leaves in the cap"). The administrator can create controls with any number of parameters and of any type (numeric or yes/no) in any ratio.

 

[Level 2] The person who performs the quality control (with the profile Quality Control) is the person who physically checks the harvester. To do this, follow the steps below:

  1. He approaches the harvester and scans his QR ID (the same one that the Annotator scans to register a delivery).
  2. Extract a fruit sample of size "Sample Size" (the Sample Size is indicated on the Quality Control screen).
  3. Fill in the application form. Here for each parameter QC indicates a number, yes or no as appropriate.

The evaluation carried out is associated with a key quartic-variety that will allow the identification of the controls in these dimensions.

We strongly recommend you to use the quality control profile if you want to ensure control over the quality of the fruit in your orchard. This will help you to evaluate the fruit quality parameters you want, such as bruise, rot, scores and all you want to add to ensure the traceability of the fruit quality in your orchard.

  • It is optional. If I want to have a crop without quality control there is no problem. The administrator indicates that he does not want quality control and that's it. If at some point he changes his mind, a quality control is defined and he can start performing controls.

The sample size is the number of fruits that the quality control person removes from the picker for analysis.

Agrakharvest's specialist team strongly recommends using the quality control profile available in the application. With this you will be able to keep a reliable record of the quality of the fruit that each particular harvester is putting out and have an overall summary based on all the quality controls performed. You will be able to know in real time the quality of the fruit being harvested in your orchard at any given moment.

Registration of bins

The bins register is the possibility for the Annotators to be able to assign to each harvested bins a unique identification by means of a QR code in sticker format. Having a bins register allows you to know how many bins you have harvested, if they have been received in the loading area and how long it takes from the time the bins are harvested until they reach the loading area. Each time the Annotator sees that a bins has been filled, a sticker QR is affixed to the bins and the QR is scanned with the button for that purpose.

Use the bins log if you are interested in knowing how many bins you have harvested, whether they have been received in the loading area and how long it takes from the time the bins are harvested until they reach the loading area.

With the bins register you can know in real time how many bins you have harvested, whether or not they have been received in the loading area and how long it takes from the time the bins are harvested until they reach the loading area.

Frequently Asked Questions

To edit a harvest you must enter the Agrakharvest app in the settings screen, where you can edit all the parameters you want quickly and easily.

Yes, you can have as many parallel crops as you want. To create new crops go to the settings screen and press the "Create new crop" button.

To manage more than one crop at a time, the most important thing is to name the crops in a clever way to clearly identify them (e.g. Palquibudi cherry crop 2023). To move between different crops go to the "Statistics" screen, at the top right of the screen you can select the crop you want to work on now.

The "End harvest" button should be selected when your harvest is finished. When you press this button the harvest will no longer be available to work with again. You will have access to it only through our web platform and it will be saved in your harvest history. This operation cannot be undone. It is very important that you end the harvest only when your harvest is actually finished. 

It is very important to synchronize the cell phones because in this way, all the data that was collected by the profiles of the harvesting application during the day, such as deliveries by harvester, quality controls and registration, both closing and reception of bins, will be uploaded to the cloud that receives the data of your harvest in order to provide you with reports, spreadsheets and reports with all the information of your harvest.

The security and consistency of your harvest data is very important to us, that's why to log in and log out of both Agrakharvest and Agrakwork, you need an internet connection, but don't worry! The rest of the time you can use these applications without internet connection.

Synchronizing the cell phones is very simple, all the profiles of the harvesting application have in their main view a large button at the top of the screen that says "Synchronize". To synchronize the data just press this button. If you are in an area without internet signal, you will have to wait until you have a place with internet at the end of the day (such as the office or an area with signal), so you can upload all the data collected by the cell phones during the day to the cloud and receive complete reports of your harvest.

You can use the harvesting application in a place without signal because it does not need internet to work, in addition to the above, it is necessary to connect to the internet at the end of the day to synchronize the cell phones so that all the data that were collected in your orchard are uploaded to the cloud and so you can receive reports, spreadsheets and complete reports with the information of your harvest. It is also necessary to have an internet connection, both to log in and to log out.

To know if a cell phone is synchronized or not, just look at the color of the button that says "Synchronize" at the top of the main screen of each of the profiles of the harvesting application. If the button is orange, it means that there is data on the cell phone that has not yet been uploaded to the cloud. If the button is green it means that all the data collected by the cell phone during the day is uploaded to the cloud.

To generate and send reports from our Agrakharvest app, go to the "Statistics" screen, select "Send report", indicate one or more emails to which you want to send the report and click "Send". In a few moments you will receive your harvest report in your mailbox!

To create a new crop in Agrakharvest select the "Create new crop" option in the settings screen.

It's okay, just give him a new ID card and enroll him in the system the next time he makes a delivery.

Yes, harvester ID cards can be reused in other harvests even if used by another harvester.

The function of the Agrakharvest application is both to display a summary of the information collected in the field by all users who are using the application, such as the amount of fruit delivered, average number of deliveries per picker, summary of orchard quality, among others, and to define and edit the basic harvest parameters under which all users of the application will be governed.

The Agrakharvest application was designed to be used by a field manager, general manager and/or field owner; that is, it is useful for anyone who wants to see a report of the harvest in the orchard in real time, and for those who must make general decisions to make the harvest run as smoothly as possible.

The function of the AgrakWork application is to collect information about the harvest in the orchard, the data collected depends on the profile used; the scorer is in charge of registering the harvesters, receiving their fruit deliveries and closing the full bins. The quality control person is in charge of evaluating the quality of the fruit harvested by the harvesters and the loader is the person in the field in charge of receiving the full bins and scanning them for traceability.

AgrakWork should be used by the profiles that collect data directly in the orchard using the application. For the same reason, it should be used by the scorer, the loader and the quality control.

Using AgrakWork is very simple, you only have to download the harvesting application called "AgrakWork" in the Playstore and scan the respective QR code generated by the administrator from the Agrakharvest application. Once you have scanned the code you must enter your name and ID and you are ready to start working!

When using the app, the cell phone battery lasts a full working day as long as the cell phone is not being used for other purposes that consume a lot of battery (e.g. downloading videos) or if the cell phone is constantly searching for internet signal (to solve this we suggest using airplane mode as long as there is no signal). We recommend recharging cell phones every evening to prevent them from turning off during the next day's work.

The application can go for days without synchronizing, but this is not recommended because without synchronization the harvest information does not reach the server. We recommend synchronizing at least every day at the end of the harvest.

Yes! A harvester can make deliveries on any annotator's cell phone. There are two cases in this matter: (1) the other cell phone knows who the harvester is (this happens if that cell phone is synchronized) or (2) the other cell phone does not know who the harvester is and will ask for the harvester's data.

To log out of the AgrakWork app you must select the "person icon" at the top right of the screen and then select the "Log out" option. To log out you must be connected to the internet as this way, the app can be synchronized with the cloud and no data is lost.

If you log out of the AgrakWork app, you will no longer be able to continue working in the harvest. To resume working in the harvest you must scan the QR permit generated by the administrator.

Users

You can manage system users by selecting the "Users" option in the Agrakharvest settings screen.

You can find out how many active users you have and what is the user cap of your subscription by selecting the "Users" option in the Agrakharvest settings screen at the top of the screen.

In this case, the old card is available for use by another harvester, i.e. it becomes ownerless.

Recommendations for use and tips

  • Contractors using the Agrakharvest harvesting application should have a harvest for each client or job site. In this way they can have separate reports of the different harvests and operations to avoid confusion.
  • While using the app, you must pay attention to the battery consumption to avoid running out of energy during the task.
  • Buy cell phone protectors for all the devices you work with, thus preventing possible accidents and/or damage.
  • Charge cell phone batteries every day. We recommend that you charge your cell phone batteries every evening for the next day, thus ensuring that you do not have battery problems in the middle of the day.
  • Retrieve the credentials of workers who leave, these can be reused in your next harvest.
  • We recommend that each harvester take his or her credential with QR at the end of each day and bring it back the following day, to avoid disorder and card confusion.
  • Buy 10% more licenses than you need, this will give you more flexibility in the orchard during harvest.
  • Prepare all equipment the day before harvest, such as cell phones and bananas with: bins labels, credentials for harvesters and black thick pencil.
  • We recommend that you edit the quality and harvesting parameters at the end of the day's harvesting operation to ensure that the next day's users are working with the latest updates.
  • Verify every day that the data has been synchronized. Every afternoon, we strongly recommend that the person in charge of the logistics of the use of the harvesting application in your orchard makes sure that ALL the cell phones used during the day are synchronized, so that all the records obtained in the field are uploaded to the cloud and thus be able to deliver reports and complete reports with all the information collected in the field.
  • That the cell phones used for the orchard harvest are from the field or contractor. The above to ensure the quality, integrity and care of the devices, in addition to the above, this aspect is key to ensure the proper functioning of the application in the field and to ensure that all data collected are uploaded to the cloud no later than the end of each day by synchronizing the cell phones.
  • Hire an internet plan that has a good signal in your field. In order to synchronize the data collected in the field and thus be able to deliver a report with all the information of the day, such as deliveries by harvester, the squaring of bins and quality controls.
  • Explain to users how to use the app before implementing it in the field, so that they are all together to speed up the process and resolve their doubts. It is very important to explain that for the data collected in the field to be uploaded (such as quality controls performed and deliveries per harvester) it is necessary to synchronize the cell phones using the respective button that appears in the application.
  • Buy more cards than you need. During the harvest there is often a certain degree of rotation of harvesters, so it is always good to have a percentage of extra cards considering the peak of your harvest. In addition to the above, the cards are taken home by the harvesters and brought back the next day, so it may happen that one day they forget them. Considering the above mentioned and that the cards can break if they are badly treated, we recommend having twice as many credentials as the peak number of harvesters in your harvest.
  • Have cell phones available in the field in case new crews or fruit reception sites are created unexpectedly.
